HubSpot Integration

Setting up the integration

Before you continue you will need to have admin access to Client Sense.
If you were previously using HubSpot with an API Key you will need to also follow these steps.

Creating a HubSpot Private app

Follow the steps outlined at Private Apps (hubspot.com),
  1. Set app name and description to "Client Sense Integration".
  2. Set the following scopes:

Adding the integration to Client Sense

  1. Log into Client Sense
  2. From the top right dropdown menu select Integrations
  3. Click New Integration
  4. Select HubSpot from the list
  5. Enter your HubSpot private app access token into the API Key field
  6. Click Save

What fields are created?


When activating the integration the following fields will be created by default

HubSpot Properties

A Client Sense contact property group will be created for Contacts and Companies and all Client Sense related fields will be assigned to these property groups.

Client Sense will create at least 7 Contact properties and 2 Company properties by default.

When you add a Contact to HubSpot (irrespective of the method, either through the icon in the Organisation 360° view or the bulk add from the Favorites dashboard), the fields above will be populated with the information that exists in Client Sense.


Adding Contacts to HubSpot

In the Organisation screen

There is a new HubSpot icon when look at an Organisation in the 360° view. This will either be Grey or HubSpot Orange .  Grey tells you the Individual is not in HubSpot, clicking the Grey HubSpot icon will add them. Once they are added it will become Orange. If you click an Orange HubSpot icon it will link you to their Contact record in HubSpot.

In the Favourites dashboard

When you ‘right click’ a Favourite tab, you will see a new option of ‘Bulk add to HubSpot’. Clicking this will present you with a window that lists all of the Individuals under all of the Organisations within this particular tab.

 

When the window appears, you can click to select each Individual, select or deselect a whole Organisation and you can hide an Individual from showing using the ‘eye’ icon (maybe you don’t want to keep seeing accounts@company.com). When you click Add, the selected Individuals will be added to HubSpot. A message will tell you how many. Clicking Cancel will have none of those selected pushed into HubSpot.

Note: you can collapse or expand a Company and there is a Contact Card button on the right for each contact if you want more information in making a decision.

What will come back from HubSpot into Client Sense?


At this stage, just the ‘Industry’ from HubSpot will flow back into the Organisation record in Client Sense. We will also bring the hyperlink for Companies that exist in both HubSpot and Client Sense so that you can click them in CS to go to HS.

What if someone unsubscribes from HS and I add them from CS?


They must have already been in HubSpot to have unsubscribed or be removed from the system, as we understand it, these email addresses are kept in HubSpot so that you can not later add them again (honouring the fact that they opted out). Where some one is unsubscribed (or you have opted them out) in HubSpot, we will show this icon instead of the HubSpot icon, so you are aware of it.
